1. Travel & Visa Management

Manage end-to-end employee travel desk activities including visa processing, air tickets, accommodation, and related arrangements.
Coordinate with travel vendors for timely and cost-effective services.

2. Administrative Coordination & Documentation

Centralize and maintain administrative registers, records, and departmental documentation.
Handle departmental correspondence and maintain client and supplier databases with regular follow-ups.

3. Facilities, Housekeeping & Office Upkeep

Supervise housekeeping services and ensure cleanliness and hygiene as per guidelines.
Maintain housekeeping schedules, checklists, and compliance charts.
Coordinate office upkeep, repairs, and general maintenance activities.

4. Vendor Management & AMC

Manage admin-related vendors and Annual Maintenance Contracts (AMCs), including renewals and performance monitoring.
Ensure vendor compliance with contractual, statutory, and HSE requirements.

5. Health, Safety & Environment (HSE)

Support implementation of company HSE policies and safe work practices.
Conduct periodic safety inspections and coordinate corrective actions.
Maintain HSE documentation, records, and statutory compliance.
Coordinate fire safety systems, mock drills, emergency preparedness, and safety awareness programs.
Assist in reporting and investigation of incidents and near misses.

6. Logistics & Transport Management

Manage logistics and transport activities, ensuring safety and compliance.
Coordinate with transport vendors for employee and material movement.

7. Corporate Event & Employee Engagement Management

Plan, coordinate, and execute corporate events such as townhalls, leadership visits, annual days, customer visits, offsites, and internal celebrations.
Coordinate with internal stakeholders, vendors, and service providers for seamless event execution.
Manage event logistics, budgets, communication, and post-event documentation.
Ensure safety, hygiene, and HSE compliance during all corporate events.

8. Data Management

Perform data entry, scanning, documentation, and systematic filing of admin, facilities, HSE, and event-related records.

9. Interdepartmental Coordination

Coordinate with internal departments to ensure smooth administrative, facility, safety, and event operations.

10. Additional Responsibilities

Undertake any other administrative, facilities, HSE, or event-related activities as assigned by the Manager.
